Treatment and appointment communications are not marketing communications.

  • Laboratories and specialist providers
  • Appointment, payment, technology, cloud-storage and communication service providers
  • Insurers and professional advisers
  • Regulatory, governmental or law-enforcement authorities or
  • Courts or other persons where disclosure is authorised, reasonably necessary, or required by law.

We may also disclose information where reasonably necessary to protect a person's health or safety or to establish, exercise or defend legal or professional rights.

The Clinic does not sell patient medical information to third parties for their independent marketing purposes.

Photographs and Recordings

Photographs, videos, scans and other images may be taken where reasonably necessary for consultation, diagnosis, treatment planning, clinical documentation or monitoring progress.

Identifiable patient photographs or recordings will not be used for advertising, social media or promotional purposes without separate patient consent where such consent is required.

Withdrawal of promotional consent will apply to future use under the Clinic's reasonable control and will not affect lawful use already made or material already published, distributed or placed beyond the Clinic's reasonable control

Electronic Communications and Third-Party Services

The Clinic may use third-party services including WhatsApp, email, payment systems, appointment systems, hosting providers and cloud-based platforms.

Information transmitted through third-party platforms may also be processed by those providers under their own terms and privacy practices.

Although the Clinic takes reasonable precautions, no electronic transmission or storage system can be guaranteed to be completely secure

To the fullest extent permitted by law, the Clinic is not responsible for the independent acts, systems, security practices, service interruptions or data handling of third-party platforms and service providers outside the Clinic's reasonable control

Patients should avoid sending unnecessary sensitive information through unsecured communication channels.

WhatsApp, email, social media and website messages must not be relied upon for medical emergencies.

The Clinic takes reasonable administrative, physical and technical precautions appropriate to the information held.

However, the Clinic does not warrant or guarantee absolute security against cyberattacks, unauthorised third-party conduct, system failures or other events beyond its reasonable control.

Nothing in this Policy constitutes a guarantee that a security incident will never occur.

Retention of Records

Information may be retained for as long as the Clinic reasonably considers necessary for:

  • Patient treatment and continuity of care
  • Clinical and professional record keeping
  • Legal and regulatory compliance

The Clinic is not required to delete information where retention is reasonably necessary or required for any such purpose.

Information may remain in backups, archives or other systems after removal from active records.

No right to deletion, alteration or release of a record arises merely by making a request where retention or restriction is otherwise appropriate or required.
